How we protect and use your information.
Right By Your Side EMS collects the following information: name, email address, phone number, profile photo, GPS location (only during clock-in/clock-out for geofence verification), device push notification token, personality type, daily reflections, and feedback submissions.
Your information is used for workforce management, scheduling, attendance tracking, team communication, employee engagement (reflections, shoutouts, surveys), and expense processing. Location data is only collected when you initiate a clock-in or clock-out action and is not tracked continuously.
All data is transmitted using TLS encryption and stored in a PostgreSQL database hosted on Railway (US-based servers). Files (profile photos, documents) are stored on S3-compatible object storage. We use the following third-party services: Firebase (team chat), Resend (transactional email), and Expo (push notifications). Access to your personal information is restricted to authorized management personnel.
Your data remains active while you are employed. Upon termination or resignation, your account is archived and your data is retained as required by law and company policy. Clock-in records and attendance data are retained for payroll and compliance purposes.
You have the right to view, export, or request deletion of your personal information. To make a request, contact your company administrator or email us at the address below. We will respond to all requests within a reasonable timeframe.
